About The Role

Astral Systems is seeking a dedicated and detail-oriented Procurement & Logistics Co-ordinator to join our team. This position offers a unique opportunity to work in a fast-paced startup environment and contribute to the success of transformative systems. The successful candidate will support the procurement and supply chain activities that are vital to Astral Systems’ mission. Key responsibilities include assisting in sourcing and selecting suppliers, supporting the procurement process by raising purchase orders, tracking deliveries, and maintaining accurate records, as well as managing the ERP system and maintaining master data. The role also involves liaising with internal teams to align procurement activities with project timelines, communicating with suppliers to obtain quotations and resolve issues, and keeping procurement documentation up to date. Additionally, the Co-ordinator will monitor inventory, coordinate logistics for timely material delivery, and ensure compliance with company policies and regulations. Your work will directly contribute to accelerating advancements in the fusion industry across multiple applications, particularly supporting the manufacturing of cutting-edge fusion neutron devices. Key Responsibilities

Procurement

Assist in sourcing and selecting suppliers for goods and services required by Astral Systems.

Prepare and coordinate RFQs (Requests for Quotation), ensuring lead times, quality, and pricing are clearly assessed by department heads.

Develop business cases to support supplier selection and obtain departmental approval.

Support the procurement process, including raising purchase orders, tracking deliveries, and maintaining accurate records.

Manage the ERP system and maintain procurement master data to ensure accuracy and integrity.

Liaise with internal teams to understand project requirements and ensure procurement activities align with project timelines.

Communicate with suppliers to obtain quotations, negotiate terms, and resolve delivery or quality issues.

Maintain and update procurement documentation, contracts, and supplier records.

Support compliance with company policies and regulatory requirements in all activities.

Monitor budgets and support purchase order management.

Stay informed about industry trends and best practices in procurement and supply chain management.

Logistics

Monitor all inbound and outbound shipments to ensure timely and accurate delivery.

Provide customs documentation and support import/export clearance processes ensuring compliance with UK and international customs regulations.

Oversee relationships with logistics providers and act as the main point of coordination.

Manage returns, replacements, and logistics related queries.

Maintain accurate stock inventory records and coordinate with supply partners to ensure material availability.

Ensure ERP stock levels match physical inventory through regular stock checks and audit processes.

Qualifications & Skills

To be successful in this role, you'll need:

5 years+ experience in procurement and supply chain support roles with proven ability to manage inventory

Strong organisational and administrative skills, with attention to detail.

Excellent communication and interpersonal abilities.

Proficiency in Microsoft Office Suite and procurement software.

Ability to manage multiple tasks and prioritise effectively.

Commitment to upholding high standards of safety, quality, and compliance.

Experience with enterprise resource systems is desirable.

Experience and knowledge in Import and Export

Working Arrangements

This is a hybrid role, with 3 days per week required in the office at Boscombe and the remainder of the week flexible for remote working, reporting to the Director of Projects & Operations.
